This page is a plain-language summary of how payment, cancellation, and refunds work. Every project is also governed by a signed Service Agreement — if anything here differs from that Agreement, the signed Agreement takes precedence.
How payment works
Every project has one fixed price, agreed in writing before work starts. Smaller projects are paid in full upfront. Larger projects can be split into a deposit to begin, and a balance due before final handover.
Once work has begun
Amounts paid are non-refundable once work has begun, because time and project capacity have already been committed on that basis. The one exception is set out below.
If Meridian Data Assurance doesn't deliver
If the agreed scope isn't delivered for reasons within our control, and this isn't fixed within 14 days of written notice from you, you're entitled to a refund of the portion of the fee that relates to the work not delivered.
If you cancel a project partway through
You can end a project at any time by written notice (a WhatsApp message is enough). You then pay for the work completed up to that point, in proportion to what's been done. Amounts already paid for completed work are kept; you won't be charged for anything beyond what's actually been delivered.
Third-party costs
Costs already paid to other companies on your behalf — domain names, hosting, Safaricom fees, and similar — are not refundable, since they're paid to those companies, not to Meridian Data Assurance.
Delays outside our control
Some services depend on third parties, such as Safaricom's approval process for M-Pesa go-live. Delays caused by third parties are not treated as non-delivery, and don't on their own entitle you to a refund.
How to request a refund
Message on WhatsApp with your project details and what happened. Requests are reviewed against the signed Service Agreement for that specific project.
